The following are the terms and conditions for participants in any program with Smokey Manor Ltd. with the brand name – Jamaica Volunteer Programs. The contents of this document set out the rights and obligations of each party. To participate in our program, you must agree to our terms and conditions.
Disclaimer
This website must only be used to make legitimate travel arrangements for you or for another person for whom you are legally authorized.
The volunteer agrees to provide correct, accurate, current, and complete information needed about themselves to reserve a spot in one of our programs.
We reserve the right to deny access to the services we offer for violation of the terms and conditions, privacy policy or for any other reason
The traveler understands that itineraries planned before arrival can have locations, projects, and activities changed, which can, in turn, alter itineraries. Despite changes, JVP will make every effort to substitute activities, projects, and locations with something that will guarantee the same experience.
Travel
The traveler accepts full responsibility for all travel arrangements and documentation. As a result, all costs incurred as it relates to transportation costs and airfare are to be paid by the traveler. Participants must ensure they have all necessary travel and health documents before departure and are responsible for ensuring these documents are valid and up to date. During the planning process, Jamaica Volunteer Programs may advise the traveler about the necessary documentation for travel; however, JVP cannot accept any liability for refusal of entry onto any transport or into the country due to failure to carry all required documentation.
Travel insurance
Travel insurance is mandatory, and the traveler is responsible for purchasing travel insurance, which must cover the entire travel period.
Program Fees
By paying the registration fee, a traveler will confirm participation in a program
This fee is non- refundable and non- transferable, so it cannot be used for another person. The payment attracts a 4% transaction fee for international banking and currency charges.
Jamaica Volunteer Programs, based on its judgment and discretion, may offer discounts on registration fees for individual or particular inquiries.
JVP reserves the right to revise the registration fee at any time; however, if the traveler has already made his/her payment, then he/she will not be impacted by such revisions.
JVP’s standard cancellation payment for Solo travelers
If you are a solo traveler, the following cancellation & refund policy applies. The non- refundable charges mentioned below cover administrative expenses.
60 days or more before departure: Full refund less the $299 non-refundable registration fee
59 days to 45 days before departure: No refund of the $299 registration fee less 50% of the Program cost.
44 days or less before departure: No refund will be issued.
30 days before departure, a traveler can cancel and do a replacement. Pay $100.00 Cancellation fee, and complete a change form
30 – 15 days before travel, cancel and receive a voucher for future travel within a 12 month period
Standard Group Travel Cancellation & refund payments
60 days or more before departure: Full refund less $300 non-refundable deposit
59 days to 45 days before departure: 50% refund of program fee, less $300 non-refundable deposit
44 days or less before departure: No refund will be issued.

Group Leader cancellation
Groups must be accompanied by a Group Leader and if a leader cancels, then he/she will have to reassign a new Group Leader.
Payments
Payments can be made in full or three installments. Request can be made for longer periods
Late fees and missed payments attract a fee of $50.00. Late fees are non-refundable
Payments can be made by bank transfers, credit, and debit cards. Visa/MasterCard & American Express
Payments with 30 days past due dates booking are liable to be canceled
JVP Flexible Bookings Policy
Jamaica Volunteer Programs understands that unforeseen circumstances can change plans, and this is why we offer flexible bookings for all travelers in such inconvenient cases. These circumstances apply to a global threat of war, the outbreak of viruses worldwide, or in the event of a level 3 and 4 US Travel Advisory to a country that may impact your travel.
45 days or more before departure, a travel date is changed.JVP will work with you to modify your current project or find a new project date.
44 days or less before departure if you cancel your project, receive a transferrable travel voucher. This option applies to the entire group
If a traveler has outstanding payments, late fee charges apply before this benefit is utilized
Travel must be completed within 12 months from the original date.
JVP will work to accommodate the revised date and project requests best. In such cases, volunteers will receive travel vouchers in the amount of all monies paid for the original project. This, however, will not include any non-refundable deposit and fees.
Travel vouchers cannot be redeemed in cash. And so, if the revised project itinerary exceeds the cost of your previous itinerary, travelers will be required to pay the difference.
If JVP cannot accommodate a revised trip request and an individual or group decides not to travel as per the original dates, then the group may opt for travel vouchers.
Personal Risks
The traveler understands that his/her choice to travel to volunteer in Jamaica or be involved in any project comes with associated risks and can include foreseen and unforeseen dangers. However, the traveler accepts all responsibility for any harm, danger, or damage that may result from any such task or decision taken during his/her travel Jamaica Volunteer Programs, its employees, shareholders, and independent local teams is not liable, to the maximum extent permitted by law, for any loss or harm the traveler may directly or indirectly experience.
This includes but is not limited to:
Physical or emotional injury
Illness or disease
Death
Hostage situations
War
Terrorism
Damage to or loss of property
Natural disasters
Indemnity
The traveler accepts that JVP is not responsible to compensate for any loss they may suffer directly from or in connection with his/her program participation, any adventure activities, travel or temporary residence in the chosen location.
Privacy Policy
The traveler agrees to the business’ privacy policy. This is set out in the Jamaica Volunteer Programs Privacy Policy
Travelers Under 18 years
Travelers under the age of 18 who wish to participate in a JVP project are required to submit a signed consent from a parent or legal guardian before departure for your project. JVP will not accept any underage volunteers without this valid consent form. Where the volunteer is under 18, parents/guardians will be required to print and sign this agreement on the traveler’s behalf as well as any other requirements as outlined by JVP.
If the volunteer is not traveling with a legal guardian, then the parent/guardian will be required to prove that they have full capacity and the authority to bind themselves and the traveler to this agreement.
Both parties, the traveler and his/her guardian, accept that while in Jamaica, he/she is responsible for making every effort to follow JVP’s terms and conditions and avoid any situation, activity, or substance that can negatively impact health or state.
Where the participant fails to comply with the terms and safety measures set out by our team, JVP can withdraw him/her from a project at any time on reasonable grounds, such as that of safety or health for the traveler, other participants, and general welfare of the program. The traveler accepts that he/she is responsible for his/her actions at all times and agrees that any withdrawal from the program resulting from conflicts, payments, and fees are non-refundable.
The traveler and his/her parent or guardian release JVP, to the maximum extent permitted by law, from any claim, suit, action, or proceeding as it pertains to the removal of the participant from the program as outlined in this agreement.
Drug and Alcohol Use
Non prescribed drug and alcohol use is strictly prohibited and can result in the non-refundable dismissal from your project. The traveler agrees to respect the rules set by JVP to govern him/her during the stay at the accommodation.
Miscellaneous
The traveler agrees that JVP has the right to dismiss him/her from a project with no refund if there is a breach of this agreement.
In any case of dismissal from the program or where deemed necessary, JVP reserves the right to notify the emergency contacts of the participant.
JVP also reserves the right to use reviews, images, videos, and testimonials that may feature the traveler. These will only be used for marketing and promotion of the business.
The participant agrees that all documents submitted, to be sent, and information provided relating to qualifications, personal history, and health are honest and accurate. It is also acknowledged that any necessary omission of data or information that is proved untrue can result in the immediate, non-refundable removal from a project.
The participant acknowledges that JVP can refuse acceptance of any application.
JVP reserves the right to change its Terms and Conditions at any given time.
